SUMMARY: The Purchasing Assistant is the designated back up and support to the Purchasing Manager. Although there are clear lines of their role and duties, this role has critical responsibilities to interface between the vendors, sales department, Accounting and management to ensure proper materials control for Microwave Components (MWC).

 

 

Responsibilities and Duties Reasonable accommodations may be made to enable individuals with disabilities to perform the essential duties:

 

  • Assist in Purchase Order preparation and placement by ensuring complete, current and correct vendor documentation exists for items being purchased. Review all PO’s before order placement for correctness.
  • Ensure all vendor quotes exist prior to order placement and exist in scanned documents in system.
  • Ensure all product shipments from MWC are reviewed and invoiced in a timely manner daily in the Pentagon System. Ensure Invoices are entered on the customer Portals as needed. Process credit cards for customers as required. Take suitable action for declined credit cards before the product ships.
  • Review and update open purchase orders / need dates against vendor acknowledged delivery dates to ensure on time delivery to our customers and expedite when needed and make notes in system reflecting the latest updates.
  • Monitor key supplier delivery dates and order acknowledgment through the supplier’s portal and reports received on a weekly basis.
  • Expedite MWC purchase orders with vendors as requested by Sales and /or against an upcoming customer delivery date. Pushout deliveries with vendors that are not critical or needed at a time for customer order fulfillment and manage inventory control.
  • Publish Parts Received Report daily from prior day receipts and report against open Sales Orders.
  • Manage and maintain MRO inventory and purchase or coordinate their purchase as needed for all office supply including cleaning and kitchen supplies. Purchase other requests as needed and appropriately approved by Management.
  • Answer telephones and transfer to intended parties or take messages.
  • Miscellaneous - other duties as assigned

 

Qualifications

  • Familiarity with Computers, Scanning, postage, fax and other office equipment
  • Working Knowledge of Microsoft Office 365 (Outlook, Word, Excel, PowerPoint)
  • Working knowledge of MRP (material resource planning) Systems
  • Comprehend and master the process to create purchase orders
  • Ability to calculate figures and amounts such as metric equivalent, discounts, tariffs, percentages
  • Work experience in a teaming environment / the ability to work as a team
  • Strong verbal & written communication skills. Pleasant telephone demeanor
  • Attendance & Punctuality - this position is extremely important to our customers and business

Supervisory Responsibilities: This position has no formal supervisory responsibilities.
